At The Amazing Destination Pvt. Ltd. we are committed to maintaining transparency and fairness in all travel bookings and services. This Refund & Cancellation Policy outlines the terms applicable to cancellations, refunds, rescheduling, and travel-related changes for all tour packages and travel services booked with us.

By confirming a booking with The Amazing Destination Pvt. Ltd. ("Company", "we", "our", "us"), you acknowledge and agree to the terms mentioned below.


1. Cancellation Requests

All cancellation requests must be submitted in writing through our official communication channels, including:

  • Registered Email
  • Official WhatsApp Support

The cancellation request shall become effective only from the date and time it is received and acknowledged by our team.

Verbal cancellation requests shall not be considered valid.


2. Standard Cancellation Charges

The following cancellation charges shall apply on the total package cost:

  • 45 days or more before departure: 30% of total package cost
  • 15 to 44 days before departure: 75% of total package cost
  • 8 to 14 days before departure: 90% of total package cost
  • 7 days or less before departure / No Show: 100% non-refundable

Cancellation charges may vary for specific packages, peak season departures, helicopter services, flights, train tickets, or special permits depending on vendor policies.


3. Peak Season & Special Period Bookings

Bookings made during peak travel periods and special operational windows are generally non-refundable once confirmed.

This includes but is not limited to:

  • Char Dham peak pilgrimage season
  • Adi Kailash operational periods
  • Christmas & New Year departures
  • Long weekends and festival dates
  • High-demand seasonal travel dates

Hotels, transport operators, and third-party vendors may impose stricter cancellation terms during these periods.


4. Non-Refundable Services

Certain travel components remain non-refundable under all circumstances due to vendor policies and operational commitments.

These may include:

  • Wildlife safari bookings
  • Helicopter tickets and aviation services
  • Train tickets and flight tickets
  • Government permits and registration charges
  • Visa fees or documentation charges (if applicable)
  • Last-minute confirmed bookings
  • Certain promotional or discounted packages

Refund eligibility for helicopter services shall depend entirely upon the helicopter operator's cancellation and refund policies.


5. Mid-Tour Cancellation or Interruption

If a tour is cancelled, interrupted, shortened, or discontinued after commencement due to personal reasons, medical conditions, delays, or any customer-related circumstances:

  • Refunds, if any, shall depend solely on recoveries from hotels, transporters, and third-party service providers.
  • No refund shall be provided for unused services including hotel stays, meals, transport, sightseeing, permits, or activities.
  • Additional expenses arising from itinerary changes or emergency arrangements shall be borne by the customer.

6. Force Majeure & Uncontrollable Circumstances

No refunds, compensation, or liability shall arise in situations involving circumstances beyond the reasonable control of The Amazing Destination Pvt. Ltd., including but not limited to:

  • Natural disasters
  • Landslides, floods, or road blockages
  • Heavy rainfall or adverse weather conditions
  • Government restrictions or permit issues
  • Flight, helicopter, or transport cancellations
  • Political unrest, strikes, or public disturbances
  • Pandemic-related restrictions or emergencies
  • Technical failures or operational disruptions

Mountain and pilgrimage travel in Himalayan regions is subject to environmental and operational uncertainties, and customers acknowledge these inherent travel risks at the time of booking.


7. Refund Processing Timeline

Eligible refunds, where applicable, shall be processed after deduction of applicable cancellation charges, vendor deductions, banking charges, transaction fees, and operational expenses.

  • Refunds shall generally be processed through the original payment method used during booking.
  • Refund timelines may vary depending on banking institutions, payment gateways, and third-party vendor settlements.
  • Processing delays caused by external service providers or financial institutions shall not constitute Company liability.

8. Company Role & Third-Party Services

The Amazing Destination Pvt. Ltd. acts as a travel planner and facilitator coordinating services through independent third-party providers including:

  • Hotels and accommodation partners
  • Transport operators
  • Airlines and railway services
  • Helicopter operators
  • Local sightseeing vendors
  • Activity providers

Refunds and cancellations involving third-party services shall remain subject to the respective provider's terms, operational policies, and approval processes.

Where meals are included in tour packages, food services are provided by licensed hotel and accommodation partners. The Amazing Destination Pvt. Ltd. does not directly prepare or handle food services.


9. Customer Responsibility

Customers are advised to:

  • Carefully review itinerary details and booking confirmations
  • Understand cancellation terms before making payment
  • Obtain suitable travel and medical insurance where necessary
  • Maintain flexibility during mountain and pilgrimage travel seasons

Customers are responsible for providing accurate travel information and maintaining valid identification documents throughout the journey.


10. Policy Modifications

The Amazing Destination Pvt. Ltd. reserves the right to amend, modify, or update this Refund & Cancellation Policy at any time without prior notice to reflect operational, legal, or regulatory changes.
